Privacy of personal information is an important principle of quality travel arrangements. At Thunder Country Travel we have always been and will continue to be committed to protecting your privacy and maintaining the accuracy, confidentiality, and security of your personal, business, and financial information.
As part of this commitment we have developed the following Privacy Protection Policy, in compliance with the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA). This legislation recognizes the right of privacy of individuals with respect to their personal information. However you choose to provide information to us, we use vigorous security safeguards and adhere to the Ten Privacy Principles outlined by PIPEDA to ensure your personal information is protected.

What Is Personal Information?
Personal information is information about an identifiable individual. It includes your full name, address, telephone number, date of birth, email address, and any other information that identifies who you are or would allow someone to contact you. Personal information only becomes known to Thunder Country Travel when you provide it to us, or when a third party (such as a spouse, parent or travel coordinator) makes a reservation on your behalf.
Collection and Use of Personal Information
Like all travel agencies, we collect, use and disclose personal information in order to serve our clients. Besides your name, address and telephone number, we need information to:
• Establish your identification
• Protect you and us from error and fraud
• Understand your needs and eligibility for products and services
• Recommend particular products and services to meet your needs
• Provide ongoing service
• Comply with legal requirements
Information collected by Thunder Country Travel may be used to:
• Plan and purchase travel
• Notify you of travel changes
• Respond to your questions or comments
• Send you marketing material
• To invoice for travel and all related services
• To process credit card payments
• To collect unpaid accounts
• To assist this office to comply with all regulatory requirements
• To comply generally with the law
Marketing
If you would like to join our mailing list and be informed of seat sales and other
promotional offers, we ask for your name, address, phone number and email
address. We use this information to communicate to you via phone, email or regular
mail.
For certain opt-in services, Thunder Country Travel may collect profile information about you (e.g. hotel and car preferences, etc), as well as demographic information (e.g. education level, etc). This information will be used to communicate specific information to you based on the profile and demographic information you provide.
Thunder Country Travel may offer various promotions from time to time. When you enter a promotional contest, we ask for your name, date of birth, address (email and/or residential) and phone number so that we may communicate with you in the event you are a winner.
Protecting Your Personal Information
At Thunder Country Travel we want our customers to feel confident about using our services to purchase travel. So we are committed to safeguarding the personal information you entrust to us.
• We keep your personal information in strict confidence.
• We do not sell your personal information.
• Paper information is either under supervision or secured in a locked or restricted area.
• Electronic hardware is firewall and password proteced.
• Paper information is transmitted by reputable companies in sealed, addressed packages.
• Electronic information is transmitted over secure connections or, with your consent, via email.
• Staff are trained to collect, use and disclose personal information only as necessary to fulfill their duties and in accordance with our privacy policy.
• External consultants and agencies with access to personal information must enter into privacy agreements with us or acknowledge that they abide by PIPEDA.
Retention and Destruction of Your Personal Information
We keep your information only so long as we need it for the products and services you're using or have purchased, to offer you products and services when you are a customer and for a reasonable time thereafter, or to meet any legal requirements. This ensures that we can answer any questions you might have about the services provided, and that we can provide an appropriate level of after-sale service.
We keep our client files for about 8 years. Our electronic client and contact databases are much more difficult to systematically destroy, so we remove such information when we can if it does not appear that we will be contacting you again. However, if you ask, we will remove such contact information right away. We destroy paper files containing personal information by shredding. We destroy electronic information by deleting it and, when the hardware is discarded, we ensure that the hard drive is scrubbed.
Accuracy and Accessibility of Your Personal Information
You can check your information to verify, update and correct it, and to have any obsolete information removed. We may ask you to put your request in writing, and there may be a nominal fee for such requests.
We will need to confirm your identity, if we do not know you, before providing you with this access. If we cannot give you access, we will tell you within 30 days if at all possible and tell you the reason, as best we can, as to why we cannot give you access.
If you believe there is a mistake in the information, you have the right to ask for it to be corrected. This applies to factual information and not to any professional opinions we may have formed. We may ask you to provide documentation that our files are wrong. Where we agree that we made a mistake, we will make the correction and notify anyone to whom we sent this information. If we do not agree that we have made a mistake, we will still agree to include in our file a brief statement from you on the point and we will forward that statement to anyone else who received the earlier information.
Upholding the Thunder Country Travel Privacy Protection Policy
We have procedures in place to assist our employees in the practice of the Thunder Country Travel Privacy Protection Policy. If you have any questions or complaints about our privacy policies, or about how we are living up to them, let us know right away.
Resolving Your Concerns
Thunder Country Travel is committed to treating you with the greatest respect and consideration, and providing the highest level of service. Even so, from time to time something may go wrong. There may be a misunderstanding, or you may feel you have been dealt with unjustly. Whatever the circumstances, resolving the problem for you is our primary concern.
